A day in the life of an Administrative Assistant, Finance

At Samaritan’s Purse, the Gospel really is the center of all we do!  We start each day with a time of devotions and prayer. We hear from members of our staff, both from IHQ and our global offices, as well as special guest speakers who encourage us in God’s word. We then join together to pray for one another, as well as praying for staff and volunteers who serve around the globe. We get paid to start each day this way! 

Job Duties

  • Administrative Assistant to the VP of Finance and the Controller. Assists the entire Finance Department during busy seasons.
  • Sorts and distributes incoming mail for the Finance Department. Assists with the distribution of accounting reports and correspondence. Maintains accounting files.
  • Schedules meetings for the Finance Department and maintains the Executive Conference Room schedule.
  • Prepares manual bank deposits and maintains the Incoming Check Log for Accounts Payable.
  • Completes daily check distribution process for Accounts Payable; maintains check distribution forms and deliver checks as necessary.
  • Files General Journal entries. Scans accounting documents per the Corporate Retention Policy.
  • Prepares Travel Authorizations and Expense Reports for the Finance Department.
  • Maintains the Vehicle File List and filing of new titles.
  • Generates Purchase Invoices and performs monthly country reconciliation uploads for Regional Finance Officers as requested.
  • Receives monthly financial reports to compile and assemble the Financial Report Notebook.
  • Maintains inventory for the Finance Department.
  • Orders and monitors office supplies for the Finance Department.
  • Prepares and submits the Finance Department’s annual Computer and Technology Budget.
  • Follows policies and procedures of Samaritan’s Purse as set forth in the Policy Manual.
  • Maintains a strong Christian witness to colleagues, vendors, charitable beneficiaries, and the general public.
  • Attends daily morning devotions and participates in prayer support for the ministry, its donors, and volunteers.
  • Other duties may be assigned that are not specifically identified within the content of the job description.

In the role of Administrative Assistant, you will provide administrative support to the VP of Finance, Controller, and the Finance Department with primary support for the Accounting Area.

Qualifications & Experience

  • A personal, vibrant relationship with Jesus Christ and desire to continue being an active, consistent witness for Him.
  • Associate’s Degree (A.A.) or equivalent from two-year college or technical school; plus one (1) to two (2) years’ related experience and/or training.
  • 1-2+ years related experience (required).
  • Working knowledge of Microsoft Office software, including Word, Excel, and Outlook (required).
  • General knowledge of SharePoint, Avaya CMS, ACRM, and other related office support software or equipment.
  • Attention to detail (required).
  • Exceptional customer service skills.
  • Preparing and maintaining a variety of forms, records, reports, and documentation.
  • Demonstrate strong communication, interpersonal, and organizational skills, including written and verbal communication skills.
  • Ability to take initiative to ensure job duties are completed timely and accurately.
  • Ability to respond to a changing work environment with changing priorities.
  • Flexibility, adaptability, and ability to work with a diverse team in a pressured environment.
  • Proven ability to work creatively and independently. A strong team player and adept at creating a strong team spirit.
