A day in the life of an Administrative Coordinator, Facilities

At Samaritan’s Purse, the Gospel really is the center of all we do!  We start each day with a time of devotions and prayer.  We hear from members of our staff, both from IHQ and our global offices, as well a special guest speakers who encourage us in God’s word.  We then join together to prayer for one another, as well as praying for staff and volunteers who serve around the globe.  We get paid to start each day this way! 

Job Duties

  • Assist the Director by handling administrative details of the department, problem solving both independently and cooperatively as issues arise, multi-tasking, and identifying priorities.
  • Liaise with executive and senior administrative assistants and other departments on behalf of the Director regarding meetings, schedules, and project information.
  • Coordinate administrative tasks within the department, including expense management, documentation for Finance, and special reports, ensuring that all parties are informed of new developments and that the quality of work remains high.
  • Provide general administrative support for the Facilities leadership.
  • Answer telephone calls, arrange conference calls, and handle e-mails and general correspondence appropriately for the Director as needed.
  • Develop, maintain, and distribute budget reports, data sheets, invoice reports, and other reports routed for approval for completeness, accuracy, and appropriateness of charges before presenting to the Director.
  • Coordinate all travel arrangements and expense reimbursements for Facilities staff based in Ministry Centers.
  • Serve in a key support role for general inter-departmental administration.
  • Coordinate the Director’s schedule and make appointments, arrange meetings, prepare agendas, reserve and prepare facilities, and organize visitor itineraries.

Supervisory Responsibilities

  • Directly supervise two non-supervisory employees.

Qualifications & Experience

  • Maintain a personal, active relationship with Jesus Christ and is a consistent witness for Jesus Christ.
  • Bachelor’s degree from a four- year college or university and three (3) to five (5) years of related office/administrative experience; or equivalent combination of education and experience.
  • Exceptional customer service skills
  • Strong computer skills (e.g., Microsoft Word, Excel, PowerPoint, Outlook, and Serenic)
  • Instinct to take initiative to ensure job duties are completed timely and accurately
  • Ability to respond to a changing work environment with changing priorities
  • Effective communication and interpersonal skills including written and verbal communication skills
  • Strong team player with a high degree of flexibility
  • Compassion and professionalism
