Samaritans Purse is seeking an Administrative Assistant to join our team at our Boone location. As an Administrative Assistant, you would Independently respond to questions through verbal communication and written correspondence.  Also, responsible for creating reports, tracking and documenting activity, managing data, coordinating travel, verifying and reviewing financial information, and schedule meetings.  Bring your administrative skills to a highly professional team. A day in the life of an Administrative Assistant:

At Samaritans Purse, the Gospel really is the center of all we do!  We start each day with a time of devotions and spend time praying for each other, our staff and volunteers who serve around the globe. 

In the role of Administrative Assistant, you will have the opportunity to:

  • Maintain your personal relationship with Jesus Christ and be an effective witness for Him
  • Assist Sr. Directors and their staff with administrative needs, including Purchase Requisitions, Contract approvals, Pre-Travel Authorizations, reimbursements, updating calendars and arranging meetings.
  • Serve as a resource to others on a variety of subjects including office equipment, software applications, license renewals and IT procedures. 
  • Collaborate with Sr. Directors teams including ARK, Network, Service Desk, ICT to gain knowledge of projects and provide administrative support. 
  • Arrange and take lead in meetings in preparation for annual and amended budget processes.  Maintain and prepare complex budget documentation for various teams including, ARK, Network, ServiceDesk and ICT. 
  • Work with Purchasing and Accounts Payable in obtaining approvals for invoices.  Work with Human Resources in arranging interview itineraries for new hires, arranging meetings and travel arrangements once the new hire is onboarded. 
  • Prepare power points and send out helpful documentation to help new hires with SP policies and procedures.
  • Initiate follow-up calls to vendors and consultants to obtain information regarding contracts, agreements and information required to get them setup as a new vendor in Samaritans Purse systems. Responds to incoming phone calls from sales introductions and vendors.
  • Submit requests for new vendor setup into Samaritans Purse financial system.
  • Gather weekly VP meeting updates from Sr. Directors. Make department purchases and prepare monthly purchasing card reconciliations.
  • Manage various software licenses and subscriptions for the ministry.  Prepare payment request for Consultants who are not classified as vendor.
  • Work with varying software and learns new computer applications to meet unique work needs. Arrange hospitality for event meetings when needed.
  • Assist with the day-to-day operations for the International Communication Technology Director and team including assisting with maintaining Dart Kit inventory. Assist in developing new processes and procedures relevant to the support needs of the IT Department.
  • Serve as a backup in preparing purchase requests, expense reports, staff updates, calendar updates, and travel authorizations in the absence of the Office Administrator and ICT Analyst. 
  • All other duties as assigned

Qualifications & Experience:

  • Associate degree and three (3) to five (5) of related work experience
  • Thorough knowledge of Microsoft Office Software.
  • Strong attention to detail and collaboration skills.
  • Excellent communication and interpersonal skills.
  • Intermediate Technology skills. Ability to analyze, organize and prioritize work while meeting multiple deadlines.
  • Ability to effectively learn new tasks and operational processes and support the completion of team goals.
  • Ability to be flexible, adapt quickly to change and efficiently move from one task to another to support a dynamic work environment.
  • Ability to accurately prepare and maintain documents, records, files and reports.
  • Ability to recognize, analyze and solve problems and when needed make quality decisions.
  • Ability to take initiative to ensure job duties are completed timely and accurately.
