A day in the life of an Administrative Coordinator, Food Services:

At Samaritan’s Purse, the Gospel really is the center of all we do!  We start each day with a time of devotions and spend time praying for each other, our staff and volunteers who serve around the globe. 

In the role of Administrative Coordinator, you will have the opportunity to:

  1. Maintain your personal relationship with Jesus Christ and be an effective witness for Him.
  2. Oversee and direct the processing of all invoices and credits for Food Services procurements in a timely manner; maintain regular and prompt communication with vendors and Finance/AP personnel.
  3. Assist Food Services leadership by handling the administrative details of the department; problem solve independently and cooperatively as issues arise, multi-tasks, and identifies priorities.
  4. Coordinate all timesheet submissions for Food Services employees, ensuring they are free of errors and submitted on time.
  5. Oversee input and processing of key financial documents including purchasing card receipts, expense reports, budgets, inventories, capital requests, reimbursements, and asset transfers.
  6. Manage and serve as first point of contact for the Point of Sale (POS) system, staying up-to-date, knowledgeable, and available to perform all functions from open to close, including basic trouble-shooting, working directly with ECRS for large problems and changes to system and facilitating all POS training for new and existing employees.
  7. Serve as back-up Cashier for Boone and Wilkesboro locations as necessary; oversee daily sales paperwork and provide reports to Food Services leadership and Finance, making daily deposit and posts credit card transactions.
  8. Maintain physical and electronic copies of recipes and the Procedure Manual; maintain Food Services ministry site on the intranet.
  9. Coordinate travel for Food Services team including airline reservations, travel authorizations, and reimbursements for staff.
  10. Maintain office supplies and reorders as needed.
  11. Purchase and inventory Food Services uniforms and yearly clothing items; maintain pars.
  12. Follow policies and procedures of Samaritan's Purse as set forth in the Policy Manual.
  13. Attend daily morning devotions and participate in prayer support for the ministry, its donors and volunteers.
  14. Maintain a strong Christian witness to colleagues, vendors,charitable beneficiaries, and the general public.
  15. Other duties may be assigned that are not specifically identified within the content of the job description.

Qualifications & Experience:

  • Ability to maintain a high level of Christian integrity and portray professionalism
  • Thorough knowledge of budgeting and bookkeeping
  • Ability to create and maintain spreadsheets with working knowledge of formulas
  • General knowledge of purchasing and maintaining inventories
  • Ability to communicate effectively in a professional manner orally and in writing
  • Ability to function effectively independently and as part of a team
  • Ability to work under pressure to meet deadlines
  • Ability to type at least 50 words per minute
  • Ability to multitask
  • Ability to navigate ministry culture at the departmental and overall ministry levels
  • Intermediate knowledge of Microsoft Office Suite
  • Bachelor’s degree from a four-year college or university and three (3) to five (5) years of office/administrative experience; or equivalent combination of education and experience
