The Staffing Administrative Specialist provides operational and logistical support for the Human Resources Staffing Team. We are looking for an individual with excellent customer experience to deployed staff and to communicate effectively with Ministry Partners, Staffing Partner/Specialist teams, supporting placement efforts for active deployments. A day in the life of a Staffing Administrative Specialist:

In the role of Staffing Administrative Specialist, you will have the opportunity to:

  • Maintain your personal relationship with Jesus Christ and be an effective witness for Him
  • Execute and support data entry and system management for active staffing deployments. To include:
    • Maintaining strong working relationships with Staffing Partners and Specialists to understand business need and objectives for deployments, execute responsibilities to support these efforts
    • Coordinating information from active Incident Management Team and Staffing Team to ensure deployment orders and needs are fulfilled
    • Ensuring completion of timekeeping submission, tax collection and requirements, insurance, and general onboarding initiation for short-term work assignments
    • Completing timely data entry, submittal and work order or change acceptances in Human Capital Management System (HCM) ensuring that all information is accurate including start date and rates
    • Handling assignment extensions and end of assignment requests in real time and ensuring accurate internal systems
    • Verifying accuracy of short-term staff performance reviews and communicating with Managers and Staffing Partners/Specialists as needed
    • Resolving any time card, payroll or benefits issues quickly and communicate effectively with Ministry Partners, employees and managers as issues arise
  • Support program readiness for on-bench staff and maintain readiness for staff to be deployed at a moment’s notice. To include:
    • Collecting HR related forms prior to assignment fulfillment; insurance verification, confidentiality forms, W-4, etc. Communicates with deploying staff, as needed
    • Executing professional credentialing process in conjunction with Staffing Partner/Specialists. Includes medical credentialing, CDL licenses, etc.
    • Keeps accuracy of personnel files to maintain deployment ready staff. This could include, but is not limited to; passports, professional licensures and certifications, direct deposit, and emergency contact information.
  • Support routine data management for Staffing Team, collecting, auditing, and reporting routine metrics to Staffing Management or prepare reporting for Ministry Partners
  • Maintain budget and expense reporting processes including coding for Staffing Team at all Samaritan’s Purse locations
  • Maintain excellent customer service and responds to Staffing general mailbox, ensuring all messages are responded to as timely
  • All other duties as assigned

Qualifications & Experience:

  • Bachelors degree (B.A.) or equivalent from a four-year college and three (3) to five (5) years of related experience; or equivalent combination of training/education and experience.
  • Ability to work with minimal direction and adapt to changing work priorities
  • General knowledge and ability to execute processes and programs to support them
  • Ability to resolve complex problems impacting people, process, and program issues
  • Technical savvy, ability to work within a system to execute business processes
  • General knowledge of Microsoft Office Suite and Excel
