Events Logistics Specialist, Operation Christmas Child
Operation Christmas Child, a program of Samaritan’s Purse, partners with local believers and churches in over 100 countries to share the powerful message of the Gospel through a simple shoebox gift. Our desire is to continue to grow this exciting, life changing ministry so more children around the world are impacted by the Gospel. We accomplish shoebox gift growth through the development of leader volunteers in the US who lead local volunteer teams promoting and growing the ministry of Operation Christmas Child in their communities. Operation Christmas Child has many events annually, ranging in size from small groups of 5-10 attendees to large global events with as many as 4,000 attendees. We currently have an opportunity to join our staff team as a Events Logistics Specialist.
The Event Logistics Specialist coordinates the myriad of details involved in development and implementation. The position will focus on technology related event details, which primarily includes guest registration insuring that all event details meet high ministry standards. This position combines knowledge of event planning and event registration management technologies in order to ensue attendees and staff are well informed and prepared for the each event. A high level of customer service skills is required as this position creates the foundation for all primary communications with all event attendees.
You will be given the opportunity to:
- Manage content and development of event management software including registration data, updating conference event schedules and other details across all Operation Christmas Child domestic departments (i.e., guest travel data, venue data, county information pages, forms, event smart phone app, etc.).
- Build, test and launch custom registration processes and platforms for all Operation Christmas Child events. This also includes event websites, applications, or other event functions related to registration.
- Manage Communication jobs and serves at the point person with the Samaritan's Purse Communications Department to insure all event platforms and design adhere to ministry standards.
- Manage critically important attendee and staff communications for Events. This attendee care element is critical due to the key partnerships associated in these ministry areas. Events traditionally range from 400-2,000 attendees and number over 30 events a year.
- Create tools to gather guest evaluations/input; analyze gathered information and provide solid recommendations for process improvement.
- Manage digital event registration experiences for all Operation Christmas Child domestic events as well as onsite experiences for select events. This is to ensure a professional, comprehensive event registration and on-site experiences for Operation Christmas Child events. This also includes digital registration for breakout sessions as well.
- Manage events team contracts through approval and revision process.
- Manages venue and vendor payments to include credit card authorization, direct billing applications, honorariums, etc.
- Manage guest lists and related information. This includes but is not limited to contact information, travel details, hotel information, waivers, etc., insuring that all data is managed within SP standards. This involves working closely with IT, Finance, Travel and other SP departments to insure data is integrated into Samaritan's Purse systems.
- Provide on-site support at select events; may lead events as directed.
- Track financial contributions for guests and ensure that SP Financial procedures are followed.
- Manage rooming lists and roommate assignments.
- Work closely with Samaritan's Purse Travel to manage the travel details/travel needs of all guest and staff attending events.
- Perform additional administrative functions such as expense reports, reimbursements, wire transfers, editing of various documents, create name tags, etc.

- Bachelor’s degree (BS/BA); and minimum of three (3) to five (5) years’ related experience and/or training; or equivalent combination of education and experience.
- Strong attention to detail
- Excellent computer skills with ability to implement new programs
- Cvent software experience, preferred
- Strong communication skills, both verbal and written

- Twelve credit hours of college-level Biblical studies strongly preferred.
- Basic knowledge of HTML and an understanding of web/graphic design
- Able to proactively keep a project on track; troubleshoot problems as they arise, and communicate regular updates with internal stakeholders.
