Samaritan’s Purse is seeking an Administrative Assistant to support the Senior Director of Information Technology (IT) and Software.  In this position you will have the opportunity to handle the scheduling, correspondence, coordination, and communication on behalf of the Director.  You will also play a vital role in handling the Software contract approvals and renewals for the team.  Prior experience with a time keeping system, Serenic and People Soft is a plus! A day in the life of an Administrative Assistant:

At Samaritan’s Purse, the Gospel really is the center of all we do!  We start each day with a time of devotions and spend time praying for each other, our staff and volunteers who serve around the globe. 

In the role, you will have the opportunity to:

  • Maintain your personal relationship with Jesus Christ and be an effective witness for Him
  • Schedule meetings on behalf of the Senior Director, and maintain his calendar and contacts; keep IT Dept. staff list updated
  • Handle administrative details of operating the Software area and inform the Senior Director of pending administrative issues to support coordination, communication, and correspondence
  • Contact IT vendors to secure quotes, as assigned; obtain appropriate approvals for Software contracts
  • Prepare requisitions, including coding for contracts, maintain copies of contracts
  • Maintain a list of contract renewals, keeping leadership aware, to avoid rush approvals; prepare annual requisitions for ongoing maintenance support
  • Administer internal time keeping site and escalate issues as necessary; provide customer service and answer simple administrative questions related to timesheets
  • Be familiar with the Travel Policy; coordinate travel arrangements for Senior Director and the entire Software Team
  • Develop and verify the accuracy of departmental reports, organize and maintain department files
  • Process expense reports for the Senior Director and team, and route for appropriate approvals
  • Manage the day-to-day administration of the P-Card; handle monthly reconciliations for P-Card and other expenses
  • Lead, monitor, or coordinate special projects as assigned by the Senior Director or team
  • Screen outside phone calls for the Senior Director and Software Team; serve as second roll for incoming calls
  • Maintain "IT Staff Calendar" and "Guest On Campus" calendars up to date, including staff travel and personal time
  • Provide the daily staff update to the IT department
  • Provide administrative support to staff in the Software IT Department in the absence of other administrative staff
  • Liaise with the Executive Assistant to the VP of IT to maintain open communication and a positive working relationship
  • All other duties as assigned

Qualifications & Experience

  • Bachelor’s degree and 1-2 years’ related experience and/or training; or equivalent combination of education and experience.
  • Highly organized, detail-oriented, able to handle multiple/competing priorities
  • Trustworthy and able to take part in confidential matters
  • Excellent communication skills, verbal and written
  • Works independently and completes tasks without constant direction
  • Prior experience with a Time keeping system or PeopleSoft, preferred
  • Prior experience and understanding of budgets/financial reports; knowledge of Serenic preferred
  • Flexible, adaptable and enjoys being in a support role
  • Able to liaise with executive staff, understands proper etiquette
  • Proficiency in Microsoft Office, required
  • Twelve credit hours of college-level Biblical studies preferred, but not required
