Vision trips and special events are a vital way in which Samaritan’s Purse connects partners with the impact of their support. As the Trips and Event Coordinator, you could help facilitate this vital program.

SUMMARY

Primary responsibilities include managing the process and logistics for major donor international vision trips, and providing administrative assistance to the Events Manager with activities related to Donor Ministries’ events.

ESSENTIAL DUTIES:

Vision Trips

·         Manages the process and planning logistics for approximately seven (7) major donor trips annually, beginning with pre-trip preparations through to post-trip survey.

·         Responsible for booking airline travel, hotels, visas, collecting signed paperwork, answering inquiries, and preparing trip invoices and collecting payments prior to each trip.

·         Works cross-departmentally with Projects and Operation Christmas Child (OCC), Communications, Travel Department, and Global Security Operations Center (GSOC) to ensure full compliance with all safety requirements.

Events

·         Works with Events Manager to track and coordinate all event and speaking requests that come through Donor Ministries.

·         Assists with the invitation process by working with the appropriate individuals to obtain an invitation list, track responses, generate necessary correspondence, and attendee follow-up.

·         Submits and tracks Communications Department and IT requests related to Donor Ministries-initiated events.

·         Conducts research on venues as requested.

·         Tracks all action items related to events, including budgets, gifts and related statistics.

·         Maintains and manages event timelines and files.

·         Occasionally represents Samaritan’s Purse at events and conferences, as needed.

Maintains a working knowledge of all Samaritan's Purse ministry activities. Communicates within Donor Ministries and with other departments as needed.

Maintains donor and other classified information with the highest regard for the protection of confidentiality and privacy.

QUALIFICATIONS :

·         High skill level working with a variety of computer systems and software programs

·         Expertise in creating high quality documents, reports, and charts

·         Able to capably manage priorities in a fast-paced work environment

EDUCATION and/or EXPERIENCE

Associate’s degree (A.A.) or equivalent from two-year college or technical school; and six (6) months to one year related experience and/or training; or equivalent combination of education and experience.
