The person hired in this role will assist the Regional Director(s) with general clerical support for the Projects Department, to include handling telephone calls, e-mails, general correspondence, scheduling appointments, reports, faxing and copying for the designated Regional Director(s), as needed.

Job duties and responsibilities:

  • Assist the Regional Director(s) with general clerical support for the Projects Department, to include handling telephone calls, e-mails, general correspondence, scheduling appointments, reports, faxing and copying for the designated Regional Director(s), as needed.
  • Serve as departmental liaison for designated Regional Directors.
  • Support designated Regional Directors with project-related administrative and logistical duties.  Complete assigned projects with RD direction to initiate; obtain RD or higher authorization/ approvals as needed.
  • Collect, review, proofread, and copyedit monthly programmatic reporting prior to submission.
  • Create and maintain active working files, e-files and summaries for each project.
  • Support the RM and RD in all aspects of the HR process, including tracking vacancies, preparing documentation, and following up with IHQ and field level staff on new hires, Memorandum of Understanding related issues and performance reviews. 
  • Review and maintain periodic departmental reports for board and international circulation.
  • Maintain a thorough knowledge of all Samaritan’s Purse projects and activities in order to respond to general inquiries.
  • Serve as communications liaison for project activity and updates to Donor Ministries.
  • Review and screen unsolicited proposals and, using criteria established by the Regional Team, establish viability in regard to programing and plans. Forward viable proposals to RD and/or Country Director (CD) for further consideration or compose/send denials to originators.
  • Process Technology Work Orders (TWO’s) and coordinate with the IT department to ensure regional staff (domestic and international) are equipped as necessary.
  • Conduct detailed and systematic review procurement documents, quotes and Bid Justification Form packages that require International Headquarter-level approval for compliance with the Field Operating Guide before routing for approval.
  • Act as Incident Management Team Administrative Coordinator when assigned.
  • Assist with maintaining and retrieving files as needed.
  • Make travel arrangements as necessary, including flight arrangements and visa processing, and process all travel expenses.
  • Finalize edits, submit and track grants.
  • Assist with planning and coordinating regional meetings and conferences.
  • Track and report on various compliance issues (Biblical exemptions, etc)
  • Follow policies and procedures of Samaritan’s Purse as set forth in the Policy Manual.
  • Attend daily morning devotions and participate in prayer support for the ministry, its donors and volunteers.
  • Maintain a strong Christian witness to colleagues, vendors, charitable beneficiaries, and the general public.

Education and/or Experience
Bachelor’s degree (B.A) from four-year college or university; or one to two years’ experience and/or training; or equivalent combination of education and experience.
