We have an exciting opportunity for an experienced Administrative Assistant to join our Donor Ministries team! The idea candidate will be a self-starter with servant’s heart and a passion to serve in excellence while following limited direction and performing administrative support duties using word processing, spreadsheet, Outlook, and other related office support software or equipment.  Providing support in a courteous, timely, and accurate manner for the Director, Strategic Partnerships, by prioritizing assigned work and using time wisely is essential to success in this role.

JOB DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned:

  • Prepare information and reports in a timely and professionally-completed manner using Word, PowerPoint, Excel and other software. Produce documents, reports, and correspondence by accurately formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Organize and prioritize work according to "first out" need, and according to requestor's rank in organization. Read and route correspondence, collect data and information, initiate calls, and follow through to ensure projects are completed. Maintain tracking schedule on projects and action items delegated to these individuals.
  • Gather pertinent information for the Director in preparation for meeting or off-site events.
  • Support Director in booking travel, completing expense reports, and effectively managing schedule. Assist with entering donor information into database following Director’s interaction with donors.
  • Carry out written communication in a professional manner and according to accepted business practices. Use courteous language and positive tone in all written communications so that anything composed reflects a service-oriented philosophy. Review letters prepared for the Director’s signature.
  • Maintain schedules by maintaining the Director’s calendar, arranging meetings, conferences, teleconferences, and travel. Reliably communicate status and changes to affected individuals, and ensure that each person supported has appropriate schedule and travel information.
  • Exercise a high degree of diplomacy and discretion with regard to the Director’s donor communication and interaction.
  • Maintain donor confidence and security by protecting donor personal information, securing classified files, and ensuring that no information is inappropriately revealed or published.
  • Communicate effectively by answering phones courteously and with a pleasant tone of voice.  Create and maintain effective employee, vendor, and client relationships by providing timely, accurate responses, and service-oriented offers of assistance, and ensuring that messages are transmitted to appropriate personnel quickly and accurately.
  • Problem-solve with other department employees to ensure best outcomes for the ministry and donors we serve. Initiate decisions and actions supporting Samaritan's Purse goals using positive and pre-active problem-solving techniques.  Empowered to work with other Samaritan's Purse employees to better internal relationships, resolve relational concerns, and develop positive solutions to administrative communications and processes.
  • Maintain work priorities and balance workload.
  • Follow policies and procedures of Samaritan’s Purse as set forth in the Policy Manual.
  • Attend daily morning devotions and participate in prayer support for the ministry, its donors and volunteers.
  • Maintain a strong Christian witness to colleagues, vendors, charitable beneficiaries, and the general public.

QUALIFICATIONS

This position requires a poised, alert and hospitable presence, a neat and professional appearance, and a servant-hearted demeanor. Due to the nature of the work, this position requires the ability to multi-task in a fast-paced work environment.

EDUCATION and/or EXPERIENCE

Associate’s degree (A.A.) or equivalent from two-year College or technical school; and six months to one year related experience and/or training; or equivalent combination of education and experience.
